Terms & Conditions

About these terms

These terms govern your use of the Spin & Gears website and everything you do through it — orders, service bookings, bike hire enquiries, event tickets, wholesale enquiries and job applications. By browsing the site, creating an account or placing an order you accept them.

The version published here applies from the effective date at the foot of this page. We update these terms as the business changes; material changes are announced on the site, and the version in force when you place an order is the one that governs that order.

Who we are

Spin & Gears is a cycling retail, servicing and hire business operated by Ahtram International Ltd, trading from three branches: Valley Arcade Mall (1st Floor, Nairobi), Shujaa Mall (Ground Floor Car Park, Kayole Spine Road, Nairobi) and Gichero Mall (Imani, Ruiru).

Who can use the site

  • You must be 18 or over to open an account, place an order or enter into a hire agreement. Under-18s are welcome to use the site and attend events with the consent and supervision of a parent or guardian.
  • One account per person. Accounts are personal to you and may not be shared, sold or transferred.
  • The details you give us — name, email address, phone number and delivery addresses — must be accurate and kept up to date, because we use them to reach you about your order.
  • We may suspend or close an account used for fraud, for abuse or harassment of our staff, or for repeated refused or undeliverable orders.

Your account and signing in

You can shop as a guest or with an account. If you check out as a guest we may create an account against your email address so that your order history, loyalty points and saved addresses stay in one place.

Accounts created that way start with no password. The first time you sign in we email a short numeric code that expires after a few minutes; entering it proves you own the address and lets you set a password. Codes are single-use — never share one with anyone, including someone claiming to be from Spin & Gears.

You are responsible for keeping your password secret and for what happens on your account. Tell us immediately if you think someone else has access. Choosing "remember me" keeps you signed in on that device until you sign out.

Guest orders and order links

Every order carries an order number beginning SG- and a private link sent with your confirmation email, so you can track it without signing in. Anyone holding that link can view the order, so treat it like a receipt and do not post it publicly. Tell us if you think a link has been exposed and we will reissue the order record.

Branches, stock and availability

Stock is held per branch. The branch you select — from the branch picker or at checkout — determines what shows as available, where your order is picked, and which team handles your booking. Your choice is remembered on your device and can be changed at any time.

Availability on a product page reflects stock at the time you view it. Stock is not reserved for you until payment is confirmed, so an item can sell out between going into your cart and being paid for.

Where the branch serving your delivery area cannot cover every line on your order, we may source the rest from another branch. Any transfer charge and its effect on your delivery estimate are quoted at checkout before you pay, and your order record shows how it was handled — fulfilled by the zone branch, reassigned, split across branches, or held on backorder.

Products, descriptions and pricing

  • Prices are shown in Kenyan Shillings and include applicable taxes. Delivery is quoted separately at checkout.
  • A "compare-at" price is a previous or recommended retail price, shown for reference against the current price.
  • Images, specifications, weights and sizes are given in good faith as a guide. Colours vary between screens, and manufacturers change specifications without notice.
  • Pre-loved bicycles are inspected and refurbished before sale and are sold in used condition, described in the refurbishment notes on the product page. You are welcome to see the bike in branch before buying.
  • Sizing guidance is advisory. We recommend a fitting at a branch before buying a bicycle, particularly for children.
  • Where a product is listed at the wrong price or with the wrong stock through an obvious error, we may cancel the affected order and refund it in full rather than fulfil it.

Orders and payment

Placing an order is an offer to buy. A contract forms when we confirm your payment and send your order confirmation — not when the cart is submitted.

Payments are handled by Paystack, which supports card and mobile money including M-Pesa. Payment details are entered on Paystack systems; we never see or store your full card number, only the payment reference and status returned to us.

If payment is not confirmed your order stays pending and no stock is committed. You can retry payment from your order page. Orders left unpaid may be cancelled.

We may cancel an order and refund it in full where payment cannot be verified, where we suspect fraud, where an item turns out to be unavailable, or where a pricing or stock error has occurred.

Promotional codes

  • A code works only while it is active and before its expiry date, and may be capped at a total number of uses.
  • A code may require a minimum order value and may be limited to particular things — products, services, events, or everything.
  • One code per order unless we say otherwise. Codes cannot be exchanged for cash or applied to an order after it has been completed.
  • We may withdraw a code at any time, and may refuse or reverse a discount obtained through misuse, automated generation, or sharing of a code issued to one person.

Loyalty programme

Registered customers earn points on completed, paid orders and redeem them against future purchases. Attending qualifying events can earn bonus points. The current earn and redemption rates are shown in your account and at checkout, and may change with notice.

  • Points are credited when payment is confirmed, not when an order is placed, and appear as a running ledger in your account.
  • Points have no cash value, cannot be transferred, sold or pooled between accounts, and cannot be exchanged for cash.
  • Points earned on a refunded or cancelled order are reversed. Points you redeemed against an order that is later refunded are credited back to your balance.
  • We may correct a balance affected by an error, and may suspend or forfeit points on an account used fraudulently.
  • We may change or end the programme with reasonable notice on this site.

Servicing and workshop work

A booking made on the site is a request, not a confirmed appointment. Your chosen branch reviews the date and time slot and confirms by email or phone. You receive a booking number beginning SGB- as soon as the request is logged.

  • Any cost shown at booking is an estimate for the package or services selected. The final cost is confirmed once a mechanic has inspected the bicycle.
  • We will contact you for approval before carrying out work beyond what was booked, or before fitting parts that were not quoted.
  • Please cancel or reschedule with reasonable notice — at least 24 hours where you can — so the slot can go to someone else.
  • Bicycles left with us are held at your risk beyond our reasonable control, and a storage charge may apply to a bicycle not collected within 14 days of being reported ready.
  • We may decline work where a frame or component is unsafe to repair, or where the parts needed cannot be obtained.
  • Please remove lights, computers, luggage and other accessories before drop-off; we cannot take responsibility for items left on the bicycle.

Bike hire

Hire enquiries — individual or group — are requests for a quote. Nothing is reserved until we confirm availability and you accept the quote.

  • We may ask for identification and a refundable security deposit before releasing a bicycle.
  • You are responsible for the bicycle from collection or delivery until it is returned: for keeping it secure, for loss or theft, for damage beyond fair wear and tear, and for any traffic fines incurred during the hire.
  • Helmets are strongly recommended and available with every hire. You ride at your own risk.
  • Return the bicycle at the agreed time and place. Late returns may be charged for the additional period.
  • Hire bicycles may not be sub-hired, used for racing or stunt riding, taken outside the agreed area, or ridden by anyone not named on the hire.

Events and tickets

  • Events are listed with their ticket tiers, capacity and whether they are free or paid. Tiers sell out independently of one another.
  • Paid tickets are issued once payment is confirmed; free registrations are issued immediately. Either way you receive a ticket by email with a unique QR code and a ticket number beginning TKT-.
  • A ticket admits the named holder and the number of people stated on it. Tickets are not transferable or resaleable unless we say otherwise.
  • QR codes are scanned at check-in. We may refuse entry where a code is invalid, already used or duplicated.
  • Refunds are covered by our Return & Exchange Policy. We may change the date, route, location or programme of an event, and will email ticket holders if we do.
  • Rides and workshops are attended at your own risk. Bring a roadworthy bicycle, wear a helmet, follow the marshals and obey traffic law. Minors must be accompanied by a responsible adult.
  • We may photograph or film at events for our own marketing. Tell a member of staff on the day if you would rather not appear.

Wholesale and corporate enquiries

Wholesale, corporate, hotel-partnership and CSR enquiries submitted through the site are requests for a quotation, not orders. Supply terms, pricing, lead times and payment arrangements are agreed separately in writing and take precedence over these terms for that supply.

Job applications

Applications and CVs submitted through the Careers page are used to assess you for the role you applied for, and for other roles we think may suit you. We hold them for a reasonable recruitment period and then delete them. You can ask us to remove your application at any time.

Acceptable use

  • Do not use the site unlawfully, or try to reach accounts, orders or administrative areas that are not yours.
  • Do not scrape, bulk-download or republish our content, product data or images without written permission.
  • Do not interfere with the running of the site, probe it for vulnerabilities without our written consent, or submit anything containing malicious code.
  • Do not place false orders, bookings, enquiries or applications, or use payment details that are not yours.
  • Anything you send us — messages, reviews, application text — must be your own, lawful and not offensive. We may remove it and act on the account it came from.

Privacy and your personal data

We collect only what we need to run the shop, the workshop, hire and events: your name, email address and phone number; delivery and saved addresses; your order, booking, hire enquiry and ticket history; your loyalty balance and transactions; your CV if you apply for a job; messages you send us; and basic technical information such as device and browser data from site analytics.

We do not receive or store card numbers. Payments are processed by Paystack, which returns only a reference and a status to us.

We use your data to fulfil and deliver orders, confirm and carry out bookings and hires, issue tickets, run the loyalty programme, answer enquiries, assess job applications, meet tax and accounting obligations, and improve the site. Marketing messages are sent only where you have asked for them and you can opt out at any time. Transactional messages — order confirmations, tickets, booking updates — are part of the service and are not marketing.

We share data only where it is necessary: with Paystack for payments, with our email provider for transactional email, with our media and hosting providers to store images, documents and records, with mapping and analytics providers for site features and traffic measurement, and with delivery partners and our own branch teams so that your order reaches you. We do not sell your data.

Records are kept only as long as we need them — for the life of our relationship with you and then for the period required by tax, accounting and legal obligations — after which they are deleted or anonymised.

Under the Data Protection Act, 2019 you may ask us for a copy of your data, or to correct it, delete it, restrict or object to how we use it, or transfer it elsewhere. Email info@ahtraminternational.com and we will respond within the period allowed by law. You may also complain to the Office of the Data Protection Commissioner.

Cookies and browser storage

The site uses cookies and browser storage to keep you signed in, remember your selected branch, hold your cart between visits, apply promotional codes and remember announcements you have dismissed. These are necessary for the site to work.

We also use Google Analytics to understand how the site is used, embedded Google Maps on the Contact page, and a WhatsApp link for chat. These are third-party services with their own privacy terms. You can block or clear cookies in your browser, but parts of the site — signing in and the cart in particular — will stop working properly.

Availability of the site

We aim to keep the site available but cannot guarantee uninterrupted access. We may suspend it for maintenance, updates or emergency work, and may withdraw features or products at any time. Where downtime is planned we will say so on the site.

Safety and liability

  • Cycling carries inherent risk. You are responsible for riding within your ability, wearing a helmet, using lights after dark and obeying traffic law.
  • Check that your bicycle is roadworthy before every ride and have it serviced at sensible intervals. Advice from our staff is given in good faith and does not replace your own checks.
  • Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything that cannot lawfully be excluded.
  • Subject to that, we are not liable for indirect or consequential loss — including lost earnings, missed events or lost riding time — and our liability for any order, booking or hire is limited to what you paid for it.
  • Your statutory rights under the Consumer Protection Act, 2012 and other Kenyan consumer law are unaffected by anything in these terms.

Complaints and disputes

If something goes wrong, speak to the branch first — most things are settled there and then. If it is not resolved, contact customer service on +254 727 767 676 or info@ahtraminternational.com with your order or booking number and we will investigate and respond.

We will try in good faith to resolve any dispute directly before either of us starts proceedings.

Governing law

These terms, and any dispute arising out of them or out of anything bought through this site, are governed by the laws of Kenya and subject to the jurisdiction of the Kenyan courts.

General

  • If any part of these terms is found unenforceable, the rest continues to apply.
  • Not enforcing a term on one occasion does not waive our right to enforce it later.
  • You may not transfer your rights under these terms without our consent. We may transfer ours if the business is reorganised or sold.
  • These terms, together with the Delivery Policy, the Return & Exchange Policy and any written quotation we have given you, form the whole agreement between us.
